How We Find Your Tenant
Our property management department strives to rent all available properties for the highest possible price in the shortest possible time. With that in mind, we do that “little extra” to promote all available properties, including distribution of rental list and database contact. We find that sometimes we have only to list on the internet and alert our database contacts and that will be sufficient. Domain Residential has an extremely low vacancy rate on our property management portfolio.
Tenant Selection
Our policy is quality first. Experience has shown that an unsuitable tenant at a high rent may produce a lower overall return on your property. A good tenancy is our main priority and will ensure the best returns over a long period. Domain Residential selects the best possible tenant for your property by thoroughly investigating the following:-
1. The identity and background of the prospective tenant
2. Past and current employment details including references
3. Past rental history including Landlords and agency references
4. Driver’s License & photo identification
5. Passport Details
6. Next of Kin details and emergency details
7. Tenancy Reference National Database
Domain Residential is a member of TRA, this is a database of tenants and is the largest of its kind in Australia. Defaulters and excellent tenants are registered with this national database and all information is cross checked when tenants apply for a property. Some tenants can have up to 9 alias identities, yet they can be found by using TRA. This service has proven to be highly valuable in preventing troublesome tenants and an added assurance against a disaster tenant.
Preparation of Residential Tenancy Agreement
Once the tenant’s references have been fully checked an approved, we prepare and sign the Residential Tenancy Agreement with the tenant. A Condition Report of the property is made out before the tenant moves in and is also checked by the tenant and returned to our office, signed. We also take digital photos of the property & provide a copy of these to the tenant for their reference at the end of the tenancy.
The bond is paid in full and lodged with the Office of Fair Trading.
Managing Your Tenants and Handling Disputes
It is our responsibility as your Property Manager’s to ensure that your tenant/s are well educated as to what is expected of them under the Residential Tenancy Agreement. Our team receives regular training to keep them up to date with new legislation. Disputes between landlords and tenants are not uncommon, but if handled with professionalism, most disputes can be solved expediently.
Routine Inspections
We conduct a minimum of two inspections per year. We will prepare a written report for your reference including a photographic record of your property. Should you wish we are more than happy for you to accompany us during the inspection.
Repairs and Maintenance
Repairs are very closely monitored and we act on all repairs according to your instructions in the Management Agency Agreement unless the repair is of an urgent nature as stated in the Residential Tenancy Agreement.
At Domain Residential we have an experienced team of trade’s people working with us. If the repair is of a large nature, we will obtain quotes to ensure that the correct work is going to be carried out within a reasonable price range.
In this instance, if required, we will inspect the work while in progress and inspect once again when the work is completed prior to payment being made.
Repairs carried out on your behalf are paid from your rent monies held in Trust and are itemized on your end of month Tax Invoice Statement.
Rental Reviews & Lease Renewals
We will review the rent on a bi-annual basis at the Routine inspections and/or when the tenant vacates the premises. Domain Residential Property Management department have the expertise to advise and negotiate market rents for the benefit of our clients.
Rent Collection and Rent Arrears
We are responsible for the prompt collection and receipting of rent. We also regularly monitor rent that is in arrears and we take immediate action should this occur. Tenants are contacted once their rent falls 3 or more days in arrears. Should your tenant fall 14 days+ in arrears, we will contact you to discuss issuing a Notice of Termination.
Insurance
We strongly recommend that you carefully consider and take out landlords Insurance. Terri Scheer & REI/AON Insurance is able to provide competitive prices for landlords. In the case of landlords with houses, we recommend you contact your building insurer to discuss a multi-policy which may attract a discount.
Accounting
As per the Management Agency Agreement, we can pay all the bills in relation to your investment property including, council rates, water rates, strata levies, gardening, etc. We can also provide an annual Income & Expenditure report detailing all this information for your Tax Accountant. We account to you at the end of each calendar month; funds are paid directly to your nominated bank account.
